My Porchlight — Privacy Policy

My Porchlight ("My Porchlight," "we," "us," or "our") helps households find, coordinate, and manage the local and personal services they rely on. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to myporchlight.us and the My Porchlight service (the "Service"). By using the Service, you agree to this policy.
Information We Collect
We collect the information you give us and a limited amount of technical information:
- Account & contact details — your name, email address, phone number, and password (or a Google sign-in identifier, if you use it).
- Household & property information — your address (including ZIP code), details about your home, the providers and vendors in your personal phonebook, and preferences you share.
- Requests & notes — the services you ask us to help with, the requirements you describe, notes from calls, and the recommendations we prepare for you.
- Documents & photos — files you choose to upload to your document vault (for example, warranties, manuals, or insurance documents), and photos you add to homes, vehicles, pets, contacts, and household members.
- Calls, texts & messages — messages you exchange with your Assistant in the app or by text and, where recording is enabled, recordings and transcripts of calls with your Assistant and of calls we place to service providers on your behalf. Calls that are recorded are announced at the start of the call.
- Household members — names, relationships, contact details, birthdates, locations, notes, and photos of family members and others that you, the account holder, choose to add and control.
- Payment information — if and when you subscribe to a paid plan, payment is handled by our payment processor; we do not store full card numbers.
- Technical & usage data — your IP address, device and browser type, and cookies or similar technologies used to keep you signed in and to understand how the Service is used. While you are signed in we also record which section of the app you opened (for example “Documents” or “Calendar”) and when, at most once per section per day. We do not keep a page-by-page history of your browsing.
What Your Assistant Can See
If you have a Fractional Family Assistant, they can see your household's record so they can help you: your profile and household details, the projects, documents and contacts you've saved, the services and recommendations you've asked for, your conversation with them, and a summary of recent activity on your account — updates you've made, and which sections of the app you opened (by section and day, never a page-by-page history). They cannot see your payment card details, which are held by our payment processor.
How We Use Your Information
We use your information to:
- Provide the Service — research options, coordinate with providers, prepare your recommendations, and keep your home profile, calendar, documents, and phonebook organized.
- Communicate with you about your requests, your account, and the Service.
- Improve and secure the Service.
- Comply with our legal obligations and enforce our Terms of Service.
We use trusted AI tools to help us work faster — for example, to summarize search results, draft recommendation documents, and organize your requests. These tools process your request information to assist your Fractional Family Assistant; a real person always reviews the result before it reaches you. Uploads to your document vault are automatically reviewed by these tools to classify the file, extract useful details (like renewal dates or reference numbers) into your notes, and keep prohibited sensitive data (like Social Security numbers, payment-card numbers, government IDs, and medical records) off our servers. Where recording is enabled, call recordings are transcribed by these tools so details from the call aren't lost; your Assistant reviews the result before it's used. We do not use your information to train third-party public AI models.
Google Sign-In and Google User Data
If you choose "Continue with Google," we receive only your basic profile information (name, email address, and a Google account identifier) to create or access your account. We never post anywhere on your behalf, and we never sell your information. We use this data only to sign you in and operate your account, consistent with Google's API Services User Data Policy, including its Limited Use requirements.
Google Calendar import (optional). If you separately connect Google Calendar, we access your
upcoming events read-only (title, date/time, location) and store copies in your private
Porchlight calendar so you can see them alongside your household's projects and appointments. We
request the minimum scope (calendar.events.readonly), never create/modify/delete Google events,
and never use Google data for advertising, profiling, or training generalized AI models. Imported
events are visible only to you unless you explicitly attach one to a shared project. Your
Google refresh token is stored encrypted; "Disconnect" on your account page revokes our access
with Google immediately and, at your choice, deletes everything imported. Our use and transfer of
information received from Google APIs adheres to the Google API Services User Data
Policy, including the Limited
Use requirements.
Service Providers and Search
To help you, the Service uses third parties who process information on our behalf, including Google Cloud (hosting and database), Google Analytics (site usage statistics), the Meta (Facebook) Pixel (advertising measurement), Google Maps Platform / Places (to search for local providers and show ratings and reviews), Google Vertex AI (to assist with drafting, summarizing, and transcription), Twilio (phone calls and text messages, including call recordings), Twilio SendGrid (email delivery), and, for paid plans, a payment processor. These providers may only use your information to perform services for us.
Sharing Your Information
We share your information only as needed to run the Service:
- With people you invite — if you share a home or a project, or give a household member viewer access, whoever signs in with the email you list can see what you've shared (read-only). You can revoke this at any time.
- With providers you ask us to engage — when you approve, we may share what's necessary to schedule work, gather a quote, or book an appointment on your behalf.
- With service providers/subprocessors — as described above, under agreements that limit their use of your data.
- For legal reasons — to comply with law, respond to lawful requests, or protect the rights, safety, and property of My Porchlight, you, or others.
- In a business transfer — if My Porchlight is involved in a merger, acquisition, or sale of assets, your information may transfer to the successor entity.
We do not sell your personal information.
Government and Legal Requests
If a government body, court, or law-enforcement authority requests personal information about you, we practice data minimization: we disclose only the minimum information necessary to respond to a specific, lawful request, rather than broad, bulk, or standing access to your data. We do not give any government or other third party direct or unfettered access to our systems or databases. Where we are legally permitted to do so, we will make reasonable efforts to notify you of a request that affects your information before we respond.
We also document these requests. For each government or legal request for user information, we keep a record of the request, our response, the legal basis and reasoning applied, and the parties involved, so our handling can be reviewed for consistency and lawfulness.
Data Retention
We keep your information for as long as your account is active and as needed to provide the Service, resolve disputes, meet warranty or legal obligations, and improve the Service. You can ask us to delete your account and associated personal information, subject to records we are required or permitted to keep.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information — including encrypted connections and access controls. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.
Your Choices and Rights
- Communications — you can opt out of non-essential emails; account and service messages are part of using the Service.
- Access & deletion — you can request a copy of your personal information or ask us to correct or delete it.
- Call recording — recording of calls your Assistant places to service providers on your behalf can be turned off at any time in your account settings; your Assistant can also place individual calls unrecorded.
- Cookies — you can manage cookies through your browser settings; some features may not work without them.
Depending on where you live (for example, California and certain other U.S. states), you may have additional rights, including the right to know what personal information we hold, to request a copy or deletion, and to opt out of any "sale" or "sharing" of personal information. We do not sell your personal information. To exercise any right, contact us using the details below.
International Users
My Porchlight is based in and operated from the United States, and your information is processed here. If you access the Service from outside the U.S., you understand your information will be processed in the U.S., where privacy laws may differ from those in your location.
Children's Privacy
The Service is intended for adults. We do not knowingly collect personal information from children under 13. Adult account holders may add basic records about their own children (for example, a name, school, or allergy note) to their household; that information is provided and controlled by the parent or guardian and can be deleted by them at any time. If you believe a child has provided us information directly, contact us and we will delete it.
Changes to This Policy
We may update this policy from time to time. We will revise the "Last updated" date above and, for significant changes, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
